How to Name HubSpot Workflows for Clarity, Usability & Team Adoption

Clear workflow names aren’t just for admins - they’re essential for building trust, collaboration, and efficiency across your whole HubSpot team.

When your workflows are well-named, everyone wins:

  • New admins know what’s what
  • Users trust the automation
  • Debugging is faster
  • You avoid duplicated or conflicting logic

The Problem

Workflows named “Test 1” or “Lead Nurture” don’t tell you:

  • What triggers them
  • What they actually do
  • Whether they’re still in use

That creates friction for anyone managing or relying on CRM automation - especially in growing teams.

The Fix: Name Workflows by Trigger + Action

A simple, scalable naming structure:

[Object] - [Trigger] - [Output Action]

  • Which object the workflow relates to
  • What sets it off
  • What it does in response

It helps when searching/filtering workflows later, regardless of who built out the workflows. 

Other Best Practices:

  • Prefix with an emoji or team tag (e.g. 🔁, ✉️, [Mrktng], [Ops]) for easy scanning
  • Use folders to group workflows by function: lead assignment, nurturing, ops, etc.
  • Use HubSpot's AI function to auto-generate a workflow description
