Enforce Sales Process Automatically

Enforcing pipeline stage rules in HubSpot ensures that records cannot progress unless critical data is captured. This improves CRM consistency, data quality, and forecasting accuracy.

Step-by-Step Implementation

Step 1: Navigate to Pipeline Settings

  • Go to Settings
  • In the left sidebar, navigate to:
Objects → Deals (or your Custom Object)
  • Select Pipelines

Step 2: Select the Pipeline and Stage Rules

  • Choose the relevant pipeline
  • Click on the stage you want to enforce rules for (e.g., Proposal Sent)

Step 3: Define Required Fields

Within the selected stage:

  • Locate “Set required properties”
  • Add the following fields:
    • Deal Amount
    • Close Date
    • Decision Maker Identified (custom property if applicable)

Step 4: Enable Rule Enforcement

  • Enable the option:
“Require properties before moving to this stage”
  • This prevents users from advancing the record unless all required fields are completed

Step 5: Test the Configuration

  • Open a deal (or custom object record)
  • Attempt to move it into the configured stage without completing required fields
  • Confirm that HubSpot blocks the stage transition and prompts for missing data

Expected Outcome

  • Standardised pipeline usage across all users
  • Improved data completeness at critical deal stages
  • More accurate reporting and forecasting

Best Practices

  • Apply rules only to key stages to avoid user friction
  • Align required fields with your sales methodology
  • Regularly audit pipeline usage and field completion rates
