This hack allows you to customize the "Guided Actions" feature within the HubSpot Sales Workspace. Guided Actions are AI-driven suggestions that prompt sales representatives to take specific actions, such as following up on meetings or reaching out to new contacts. This customisation enables you to tailor these prompts to your team's specific workflows and priorities.

The default Guided Actions may not always align with every sales team's needs or every representative's role. By customising these actions, you can:

  • Improve Efficiency: Ensure reps are guided towards the most relevant and impactful tasks for their role.
  • Reduce Irrelevance: Turn off suggestions that aren't applicable, reducing clutter and distractions.
  • Increase Adoption: Make the Sales Workspace more effective and tailored to your team's actual sales process, leading to better user engagement.
  • Streamline Workflows: Change default actions to better suit your preferred communication or follow-up methods (e.g., creating a note instead of sending an email).

Step 1: Navigate to the Sales Workspace

Log in to HubSpot and go to the Sales Workspace.

Step 2: Access Settings 

Look for the settings area within the Sales Workspace.

Step 3: Locate Guided Actions Settings

Within the settings, find the section for Guided Actions.

Step 4 : Toggle Actions On/Off

You'll see a list of various Guided Actions. You can toggle individual actions on or off based on their relevance to your team. For example, if your team isn't focused on prospecting, you might turn off prospecting-related guided actions.

Step 5: Edit Default Actions (Optional)

Some guided actions will have an "Edit" button. Click this to change the default action associated with a prompt. For instance, if the default action for "newly assigned contacts" is to "create an email," you might change it to "create a note" or "send something to the boss" if that's your preferred workflow.
