How to Highlight Key Deal Info for Reps by Ordering Tags by Process and Priority

Improve pipeline visibility and decision-making by structuring Tags to match your sales process.

In HubSpot, Tags are visual labels that help you surface key information about a deal at a glance. You can apply multiple tags to a deal - and the order in which those tags appear is controlled in the Tag settings.

Reordering tags in the back end affects how they display:

  • On individual CRM records where ever the 'Tag' property is visible
  • On Pipeline cards in the pipeline (Kanban view)
  • In the Sales and Customer Success Workspaces on Record previews

This guide shows you how to adjust the order of your Tags.

Step 1: Create your tags

Color-coded object tags can be built to show when certain criteria are met (the same as with dynamic lists) to help teams quickly identify and prioirtise the most important records in the pipeline, and the most important data on each of those records! 

Tags can be created for deals, tickets, leads, custom objects and any objects added from the object library which have pipelines. 

  • In your HubSpot account, click the settings settings icon in the top navigation bar
  • In the left sidebar menu, navigate to Objects, then select the object for which you want to create tags
  • Click the Pipelines tab
  • Click the [Object] Tags tab
  • Click 'Manage [Object] tags

The number of tags you can create is cumulative across all objects and the limit depends on your HubSpot subscription. 

Step 2: Order your tags 

On the 'Manage [Object] tags' screen, you'll see a list of all the tags created for that object and each will have two rows of vertical dots on left side of the row - Like this ⋮⋮

You'll be able to click on each tag and drag-and-drop it into your preferred order.

The order you set here determines the display order of tags:

  • Tags appear left to right on CRM cards in your pipeline
  • Tags are shown top to bottom on CRM records

Use this to your advantage by placing the most important, time-sensitive, or process-driven tags first.

Step 3: Test and train your team on the new set-up!

Once deployed, test your tags are working as expected and train your team and your new and improved tag set-up!
