How to Track Quote Requests with Hidden Fields in HubSpot

Use hidden fields in HubSpot forms to automate lead status updates, improve reporting accuracy, and streamline your sales process.

Receiving a quote request is exciting, but manually updating the contact's properties can be a time-consuming hassle. Wouldn't it be great if this process could happen automatically, freeing you up to focus on closing the deal?

Hidden fields in HubSpot forms provide a seamless solution. By setting a hidden field on your "Request a Quote" form, you can ensure that every new lead is automatically assigned an "Open" status, which means you can notify your team straight away and report on it with accuracy.

How to Set Up Automatic Status Updates

  1.  In your HubSpot account, go to Marketing > Forms and select your "Request a Quote" form.

  2. Add a Hidden Field for Status:

    • Create a new form field or select an existing one.
    • In the field editor, toggle the "Make this field hidden" switch on.
    • In the "Default value" field, enter "Open."
    • Connect this hidden field to your "Status" contact property.
  3. You can then add as many properties to be hidden as possible. For example:
    1. Set the initial lifecycle stage to "SQL" or "Marketing Qualified Lead" to ensure proper segmentation and follow-up.
    2. Depending on the page the form is on, you can set the product type.
    3. Depending on the product type/page, perhaps they have a specific contact owner.
  4. Click "Publish" in the top right corner, and you're done!

Top tip: If you're using pre-populated fields, make sure they don't conflict with the hidden field value.

You can now accurately track the open status of quotes in your reports, enabling you to make data-driven decisions and optimise your sales strategies!
