How to Turn Your AI Settings on in HubSpot

Stuck in the AI setup maze? Here's how to quickly configure HubSpot's AI features.

Are you feeling overwhelmed trying to set up HubSpot's AI tools? You're not alone. Many users struggle with the hidden settings and confusing toggles that stand between them and powerful AI capabilities.

Perhaps you've already experienced the disappointment of generating AI content that completely misses your brand voice because the right data sources weren't connected.

These hurdles can cost your team valuable time and lead to inconsistent results across your marketing efforts. But don't worry - setting up HubSpot's AI features correctly doesn't have to be complicated.

Below is a straightforward guide to properly configure HubSpot's AI tools:

  1. In your HubSpot account, click the settings icon (gear icon) in the top navigation bar.
  2. In the left sidebar menu, under Account management, select AI.
  3. Navigate to the Access tab and follow the below:
    1. "Give users access to generative AI tools and features" - Toggle this switch on to allow users to access generative AI features like text and media generation. This setting is required for all generative AI features, including Copilot.
    2. "CRM data" - Toggle this switch on to allow AI access to CRM records and default properties.
    3. "Customer Conversation Data" - Toggle this switch on to enable AI to summarise and analyse customer interactions like call transcripts and emails.
    4. "Files data" - Toggle this switch on to allow AI to use file data from public files or files stored in your HubSpot account's files tool.
    5. "Give users access to Copilot" - Toggle this switch on to enable the Copilot experience. Enabling the generative AI features and the data access features above will greatly improve the copilot experience.

Tailoring AI Data Sources:

To ensure AI-generated content aligns with your company's brand and messaging, configure your AI data sources:

  1. Navigate to AI Settings and follow steps 1 from the "Enable AI Features" section above.
  2. Go to the Data sources tab and customise the following:
      • Brand Kits: Define your company's visual branding (logo, colors, etc.).
      • Company Profile: Enter your company name, domain, and industry.
      • Ideal Customer Profile: Specify your target audience's characteristics (industry, location, etc.).
      • Marketing Strategy: Select your primary marketing goals (brand awareness, engagement, etc.).
      • Products and Services: Provide details about your offerings.
      • User Profile: Confirm your name and job title (usually matches your personal account settings).

By following these steps, you can effectively enable and configure HubSpot's AI features to enhance your marketing, sales, and customer service efforts.

Important Considerations:

  • Avoid sharing sensitive information in your AI prompts. HubSpot logs and stores your prompts, generated content, and usage data for product improvement and legal compliance. For more information, visit behindhubspotai.com.
  • Only HubSpot Super Admins can manage AI settings.
  • You can disable AI features and data access at any time by toggling settings off.
  • If you're configuring AI settings for the first time, generative AI access, CRM data, customer conversation data, and Copilot access will be enabled by default. If you've configured these settings previously, the enabled options will reflect your prior choices.
