How to Use Calculated Properties to Populate Contract End Date

Tired of manually calculating contract end dates? HubSpot's calculated properties can automate this process

Inaccurate contract end dates can lead to missed renewals, frustrated customers, and lost revenue. Instead of relying on manual calculations and spreadsheets, leverage HubSpot's calculated properties to automatically determine end dates with precision.

Step-by-Step Guide

  1. Log in to your HubSpot account > Click the settings icon in the main navigation bar > In the left sidebar menu, select Properties.

  2. Click Create property
    1. Property name: Enter "Delivery Term" (we work in days, this is important for the calculation).
    2. Field type: Select Number.
    3. Do the same for Contract Start Date with a Field Type of Date.
  3. Create new property and configure the property

    • Property name: Enter "Contract End Date" (or a name that suits your needs).
    • Field type: Select Calculated property.
    • Data type: Choose Date.
    • Formula: Paste the following formula into the editor:
      • ([properties.contract_start_date] + [properties.delivery_length]) * 86400000

Explanation of the Formula

  • [properties.contract_start_date]: This retrieves the value from your "Contract Start Date" property.
  • [properties.delivery_length]: This retrieves the value from your "Delivery Length" property (assuming this property stores the contract duration in days).
  • 86400000: This represents the number of milliseconds in a day (if you work in months or years you'll need to change this number).

Next Steps:

  • Use this property in reports to show upcoming contract end dates.
  • Use this property in reports to show forecasting.
  • Trigger reminders and tasks based on contract end dates.

By automating contract end date calculations, you'll free up valuable time and resources, allowing your team to focus on higher-value activities like building relationships and closing deals. It eliminates the risk of manual errors and ensures accurate contract end dates, leading to improved forecasting, timely renewals, and reduced revenue leakage.
