Why this prompt works, and how to adapt it
The Context section is doing the real work here. Breeze can't tell a redundant report from a deliberately duplicated one unless you give it the ownership and purpose of each report up front - that's what turns a generic "tidy this up" request into something you can actually act on.
The constraint against building new reports is deliberate. Left unconstrained, most AI tools default to "here's what you're missing, go build it" - which just adds to the pile you're trying to reduce. Forcing the output into fix/merge/retire keeps the exercise honest.
Adapting it for your portal
Only have a handful of reports, not a sprawling library? Drop the "redundant reports" instruction and ask instead: "Focus only on blind spots against the business questions listed - we don't have a redundancy problem, we have a coverage problem."

Will Breeze actually know which of my reports are unused?
