Can you migrate to HubSpot from another CRM?

Yes. You can migrate to HubSpot from almost any CRM or spreadsheet, and keep your history intact when it's done properly. HubSpot has native migration tooling for the most common platforms and open APIs for the rest, so contacts, companies, deals, activities and attribution data can all move across rather than starting from a blank slate.

The question is rarely whether the data can move. It's whether it moves cleanly: associations preserved (the right contacts linked to the right companies and deals), duplicates resolved, custom fields mapped to the right HubSpot properties, and your automations rebuilt so nothing quietly breaks on go-live. That's the difference between a migration and an import, and it's where most in-house attempts run into trouble.

Which CRMs can you migrate to HubSpot from?

You can migrate to HubSpot from any of the major CRMs, and from spreadsheets. HubSpot's own Smart Transfer tool supports one-time migrations from platforms including Microsoft Dynamics 365, Zoho CRM, Pipedrive, Salesforce Account Engagement (Pardot), ActiveCampaign, Copper, Keap and Mailchimp. Everything else, including full Salesforce Sales Cloud and bespoke or legacy systems, moves through the API or a structured import.

Migrating from Salesforce to HubSpot

Salesforce migrations are the most involved, because Salesforce instances are usually the most customised. They're also where the return is largest. Teams typically move to bring marketing, sales and service onto one platform, cut the admin and licensing overhead, and give users a system they'll actually adopt.

A Salesforce migration isn't a Smart Transfer job. Full Sales Cloud data moves through the API, so the work is in the mapping and sequencing:

  • Custom objects and fields: Salesforce orgs accumulate custom objects, fields, page layouts and record types over years. Each needs a decision: map to a native HubSpot property, recreate as a custom object, or retire it. Reusing native HubSpot properties where you can keeps automation clean and reporting sensible.

  • Flows and automation: Salesforce flows, process builders and validation rules get rebuilt as HubSpot workflows, not copied. It's a good moment to drop the automation nobody remembers building.

  • Attribution and history: closed-won history, campaign attribution and activity timelines are what make a CRM worth keeping. Preserving them is a deliberate migration step, not a default.

Migrating from Microsoft Dynamics 365 to HubSpot


Yes, you can migrate from Dynamics 365 to HubSpot, and HubSpot's Smart Transfer tool supports it directly for a one-time move. Teams usually leave Dynamics because it sits awkwardly across the wider Microsoft stack, adoption is low, and marketing and sales are working from different data.

The care points are specific to Dynamics:

  • Custom entities and option sets: map to HubSpot objects and properties, and Dynamics' field types (option sets, lookups, two-option fields) need translating to their HubSpot equivalents.

     

  • Business process flows: Dynamics' stage-gated processes get rebuilt as HubSpot deal stages and workflows, which is a chance to simplify a process that's often grown rigid.

     

  • Ongoing sync versus one-time move: A Smart Transfer is a one-time migration and doesn't stay in sync afterwards. If you need Dynamics and HubSpot connected for a transition period, that's an integration to scope on purpose.

Getting the object model right at the start is what stops a Dynamics migration turning into months of clean-up later.

Migrating from Zoho or Pipedrive to HubSpot

Both Zoho CRM and Pipedrive are supported by HubSpot's Smart Transfer, so the data moves readily. The value an expert adds is in what you rebuild on the way in, not the transfer itself. These moves are usually about outgrowing a tool: businesses that started on Zoho or Pipedrive for a lightweight, low-cost sales pipeline and now need marketing automation, service, and reporting the board can rely on.

From Pipedrive

The risk is migrating a flat contact list and losing the deal and activity associations that make the data useful. A CSV import is fast and free but basic; an API-based migration preserves the relationships between contacts, deals and activities. Pipedrive's pipeline-centric model maps neatly onto HubSpot deals, so this is often about extending into marketing and service rather than re-architecting.

From Zoho

The data has often grown loosely across modules over time, so this is as much a data-cleansing exercise as a migration: deduplicating, standardising formats, and mapping modules to the right HubSpot objects before anything moves.

In both cases the migration is your chance to design the CRM you actually want (pipelines, lifecycle stages, properties and automation) instead of replicating the constraints of the tool you're leaving.

Migrating from spreadsheets to HubSpot

Yes, and moving off spreadsheets is often the single biggest step-change a sales team can make, because it replaces scattered files with one shared, reportable source of truth. A lot of sales and customer data still lives in Excel and Google Sheets, and it imports into HubSpot cleanly if it's prepared first.

Spreadsheets carry no structure of their own, so the work happens before the import:

  • Deduplicate and standardise: Merge duplicate rows, and standardise formats (dates, phone numbers, country names, deal values) so HubSpot reads them correctly.

  • Map columns to properties: Decide which columns become contact, company and deal properties, and split a single flat sheet into HubSpot's associated records.

  • Build the structure that isn't there: Pipelines, deal stages, lifecycle stages and owners all have to be designed, because a spreadsheet never had them.

Done well, this is where a team goes from "the data's in Dave's spreadsheet" to shared pipeline visibility and reporting in one move. Done carelessly, you import the mess and lose trust in the CRM on day one, which is exactly why the preparation matters.

How a HubSpot migration works, step by step


A well-run HubSpot migration follows a fixed sequence: audit and plan, map fields, migrate the data in dependency order, validate, then drive adoption.
Most failed CRM migrations trace back to poor planning rather than the technology, so the order matters.

  1. Audit and scope. Catalogue every standard and custom field, layout and module; map current workflows and automations; and check the data itself for duplicates, inconsistent fields, wrong lifecycle stages and stray owners. Get input from sales, marketing, ops and service, the people who live in the system.

  2. Map and configure. Map source fields to HubSpot properties, favouring native properties to keep automation and reporting clean. Add users with the right roles and permissions, and rebuild source-system automations as HubSpot workflows rather than copying them across.

  3. Migrate in dependency order. Data moves in a set order because each step depends on the last: companies first, then contacts, then deals, then activities, and attribution data last. Migrate contacts before companies exist and the associations break.

  4. Validate at every step. Run a test import, validate, then bring across historical data, then active data, then cut over. Check after each stage before moving on, rather than validating once at the end.

  5. Go live and drive adoption. Plan training and change management alongside the technical work, not as an afterthought. A migration that lands technically but nobody adopts has failed.

How AI is changing CRM migration (and where it still needs a human)

AI genuinely speeds up the grunt work of a migration (data cleansing, deduplication, field-mapping suggestions and validation), but it doesn't remove the need for expert judgement. If anything it raises the value of it. The tools are faster; the decisions are still yours to get right.

Where AI helps today:

  • Data cleansing and deduplication. Spotting duplicate and near-duplicate records, and standardising inconsistent formats across tens of thousands of rows far faster than by hand.

  • Field-mapping suggestions. Proposing how source fields should map to HubSpot properties, which a specialist then reviews and corrects.

  • Validation. Flagging records that didn't migrate cleanly or associations that look wrong, so nothing slips through.
