How to Add Guests to Your HubSpot Meetings

Update your meeting links with HubSpot's latest product update.

Scheduling meetings with multiple stakeholders should be as simple as sending a single link. No more endless email threads, no more "reply-all" chaos. HubSpot's new "Allow guests" feature transforms this vision into reality, empowering you to streamline meeting coordination directly within your scheduling links!

This will walk you through, step-by-step, how to do it.

Enabling Guests for New Meeting Links:

  1. Go to your HubSpot account.
  2. Click on "Sales" > "Meetings." This is your central hub for all meeting link management.
  3. Click "Create scheduling page."
  4. Select your meeting type (e.g., "One-on-one").
  5. Enter a clear and descriptive meeting title (e.g., "Product Demo").
  6. Configure essential meeting settings (video conferencing, meeting type, etc.).
  7. Click "Next" to advance to the scheduling page setup.
  8. Locate the "Form" section.
  9. Toggle the "Allow guests" switch to "on."
  10. An "Add guest" area will now appear on your meeting booking form. Remember, you can add up to 10 guests.
  11. Finalise any other desired customisations and click "Next" to save.

Enabling Guests for Existing Meeting Links:

  1. Go to "Sales" > "Meetings."
  2. Find the meeting link you wish to modify and click "Edit."
  3. Select the "Scheduling" tab.
  4. Click on the "Form" section.
  5. Toggle the "Allow guests" option to "on."
  6. Save your changes.

Best Practices and Pro Tips:

  • When sharing the meeting link, provide clear instructions. For instance, "Feel free to add any colleagues who should attend."
  • Use this feature strategically for sales demos, ensuring key decision-makers are included.

This seemingly simple feature offers a shift in how we approach meeting scheduling. By eliminating the friction of multi-party coordination, HubSpot gives us the power to reclaim valuable time and focus on what truly matters: building relationships and closing deals!

This is not just about adding guests; it's about adding intelligence, efficiency, and a touch of human-centered design to your sales process.
