How to Personalise Customer Interactions with Automated Breeze Record Summaries in HubSpot

Imagine your sales team walks into a meeting, fully briefed on a client's history, current needs, and past interactions – without spending hours digging through records. By automating record summaries within HubSpot, you can turn scattered data into actionable insights that give your teams the power to build stronger customer relationships and drive tangible results.
Here's how:
Step 1: Create a Workflow for Automated Record Summaries
- Navigate to Automation > Workflows > Create a Workflow from Scratch
- Select the event that triggers the workflow. For instance:
- "Contact becomes a customer"
- "Deal reaches a specific stage"
- "Ticket is created"
- "Company property is updated"
- Click the "+" icon to add a new action.
- Search for and select the "Summarise Record" action. This will use HubSpot's CoPilot to generate a summary of the relevant record (contact, deal, company, or ticket).
- Click the "+" icon again > Select "Send internal email notification."
- Configure the email to be sent to the contact owner or relevant team member. Include a message indicating that the record summary is available for review.
- Example message: "A summary of [Record Name] has been generated and is ready for your review in HubSpot."
You now have two options, add another "+" icon and send the same message via slack. Or use the latest update, as of March 2025, which is specifically for quick summaries in Slack. Keep reading for details!
Step 2: Use the Slack Integration for Quick Summaries
- Ensure your HubSpot workflows are integrated with Slack to receive notifications.
- When you receive a notification in slack, look for the "Summarise deal with CoPilot" (or similar) option within the Slack message.
- Click the "Summarise deal with CoPilot" option to create an instant summary of the record.
- Click the "Continue in HubSpot" button within the Slack message.
- You'll be redirected to the HubSpot record page, where you can continue the conversation with CoPilot and view the summary.
- Post the Summary to Slack (Optional):
- Click "Post to thread" within HubSpot.
- The summary will be shared in the Slack thread for your team's visibility and collaboration.
- This allows teammates to quickly access key information and continue the conversation.
