Calendar and inbox disconnects can wreak havoc on your team's productivity, leading to missed meetings, lost emails, and disrupted communication. Identifying and resolving these issues promptly is essential to maintain smooth operations.
Step-by-Step Guide
- Log in to HubSpot.
- Click on the Automations tab in the main navigation bar and select Workflows from the dropdown menu.
- Click on Create Workflow and select Start from Scratch.
- Choose user based.
- Give your workflow a descriptive name, such as "Monitor Calendar and Inbox Disconnects".
- Set the trigger to When filter criteria is met.
- Set the filter criteria to Email Status is any of Disabled or Error and save the trigger settings.
- Click the + icon to add an action.
- Choose to Send Internal Email Notification.
- Compose the notification email with details about the disconnect and instructions on how to fix it.
- Specify the recipients (e.g., IT team, responsible managers).
- OR you can choose to Send a Slack Message.
- Configure the Slack action by connecting HubSpot to your Slack workspace if you haven't already.
- Compose the Slack message with similar details as the email notification.
- Specify the Slack channel or individual to receive the message.
Bonus: Sending Slack Messages
If you've never sent Slack messages from HubSpot workflows, follow these steps:
- Go to Settings > Integrations > Connected Apps.
- Find Slack and follow the prompts to connect your Slack workspace to HubSpot.
- In your workflow, select the Send a Slack Message action.
- Choose the Slack channel or user who should receive the message.
- Compose the message, including relevant details about the disconnect and how to fix it and save the action.
