How to Use Custom Tracking Domains for Sales and Service Emails

Ensure your tracking and unsubscribe links reflect your brand, creating a cohesive experience for your audience.

Great news you can now connect a domain to HubSpot for the "Sales & Service Email (Tracking)" content type. This domain will be used for open and click tracking links in emails sent through personal or team emails in the CRM, as well as when using the Track option with Sales Extensions and for unsubscribe links.

Before this update the open and click tracking for 1:1 emails relied on links that redirect through HubSpot to measure these activities. By default, HubSpot provides the domains for these links.

Once connected, your domain will automatically be used for all tracking and unsubscribe links in emails sent from your portal's personal and team emails, as well as through the Sales Extensions.  By connecting a custom domain you can now reflect your company branding. meaning that you will have greater control over your email reputation

If the domain is disconnected, emails will revert to using HubSpot's default tracking domains.

Why use custom tracking domains?

Using custom tracking domains in HubSpot for sales and service emails is a strategic way to enhance your brand’s credibility and build trust with clients and prospects. Here are some key use cases where custom tracking domains can make a noticeable impact:

Building Trust in Client Communication

  • Use Case: When sending follow-up or support emails from sales and service teams, using a custom tracking domain reinforces brand familiarity and trust. For example, instead of a tracking link with a generic HubSpot domain, the recipient sees links with your brand name, which they recognise from previous interactions.
  • Why does this matter: This makes clients feel more confident that the communication is genuinely from your company and not a phishing attempt. It can improve response rates and help clients feel secure when clicking on links in your emails.

Improving Engagement with Prospects

  • Use Case: Sales emails often include links to case studies, product demos, or scheduling pages. A branded tracking domain assures prospects that they’re engaging with a legitimate link associated with your company, rather than a generic, unfamiliar URL.
  • Why does this matter By using a branded domain for these tracking links, prospects are more likely to click through, engage with your content, and schedule meetings, leading to higher conversion rates and better engagement with your sales emails.

Reducing Spam Risk for Sales and Support Emails

  • Use Case: Many spam filters are wary of emails with tracking links that use generic domains. With custom tracking domains, your sales and support emails have a higher likelihood of bypassing spam filters and landing in the client’s primary inbox.
  • Why does this matter: A higher deliverability rate ensures that your communications reach the intended recipient, which can improve engagement and response rates for both sales outreach and customer service follow-up emails.
