Hubspot Hack: How to properly clean your HubSpot account
This guide provides step-by-step instructions for cleaning your HubSpot account using the Account Cleanup tool
A. Activate Automated Cleanup
These tools run once a month to tidy up unused assets.
- Navigate to the Tool: Go to Settings > Account Cleanup.
- Automate Email Archiving:
- What it does: Archives marketing emails that have been in 'Draft' status and unedited for over six months. These emails are archived, not permanently deleted, and can be recovered.
- How to activate: Under the ‘Archive unused assets’ section, toggle the ‘Marketing emails’ switch on. Review the number of eligible emails and click ‘Turn on ruleset’ to confirm.
- Automate List Deletion:
- What it does: Deletes lists that have not been modified in sixty days AND are not being used in other HubSpot assets (like workflows or forms).
- How to activate: Under the ‘Delete unused assets’ section, toggle the ‘Lists’ switch on. Confirm the action by clicking ‘Turn on ruleset’.
- Recovery Window: Deleted lists are moved to the ‘Recently deleted’ view, where they can be recovered for up to ninety days before being permanently removed.
B. Perform Manual Cleanup (The Guided Tour)
The manual tool provides a guided checklist for assets that require a hands-on review.
- Access the Manual Tab: In the Account Cleanup tool, click on the 'Manual' tab.
- Review Flagged Assets: HubSpot will provide a list of assets that may be outdated or unused. This includes:
- Old test workflows.
- Disconnected or unused apps.
- Old social media accounts.
- Forms that have received no submissions in six months.
- Use the 'Review' Feature: For each category, click the ‘Review’ button. This opens a new tab with a pre-applied advanced filter, showing you exactly which assets HubSpot has flagged for your attention.
- Take Action: Based on the filtered view, you can decide whether to archive, delete, or keep each asset.
