Your New Email Sidekick: A Quick Guide to HubSpot’s AI Email Creator
Tired of staring at a blank screen? HubSpot's AI email creation tool is basically a personal copywriter that lives right inside your Marketing Hub. It can whip up an entire email—subject line, body, preview text, and CTAs—in seconds.
Here’s your guide on how to get started, and a pro-tip on how to track all that sweet, sweet AI-generated content.
Part 1: How to Get Your AI Draft Ready
You can either have the AI draft a brand new email or clone an existing one to keep the same look and feel. I personally enjoy flexing my creative muscle, but if you are short on time, this will help get you started.
📍 Where to Start
- Navigate to Marketing > Email in your HubSpot account.
- You have two options to kick things off:
- Click Create email with AI in the top right to start completely fresh.
- Hover over a past email, click the Clone dropdown, and select Clone with AI to use its layout/template.
🧠 The 3 Magic Ingredients for Your Prompt
This is where you tell the AI exactly what you want. Fill in the fields under the "Tell us about your email" section. Be as specific as possible here - it is prone to misinterpretation, and I am still mastering how to develop the correct prompts.
- Action (What should they DO?):
- Example: "Use the 20% discount code in the next 72 hours." or "Book a 15-minute demo call."
- Target Audience (Who are you talking to?):
- Example: "Working professionals aged 30-45 who are new to our brand and want tips on improving work-life balance."
- Key Information (What are the details?):
- Example: "Our new 'Productivity’ e-book is available for free download. It covers 5 essential steps for maximising remote work time. Link: [your download link]."
Once you’ve fed it the information, you can optionally select a template or an existing email layout, click Generate email, and see what comes out the other end.
Part 2 The Pro-Tip: Tracking Your AI Content with Advanced Filters
This is where the advanced stuff comes in handy. Once you start leaning on AI for content, you need a way to track and analyse which emails are fully AI-written versus those that have a human polish.
HubSpot provides special properties, often accessible through the Advanced filters area, that classify your email content based on its AI origins. You can use this to create custom views and track performance.
How to Find Your AI Classifications
- Go back to Marketing > Email.
- Click + Add view and create a new custom view (or edit an existing one).
- Click the Advanced filters option above the table.
- In the filter panel, you can add criteria based on whether the email content was:

By filtering the Marketing Email home screen by these properties, you can easily pull up all your AI content to monitor, analyse, and report on its effectiveness.

Part 3: Quick Pointers (The Must-Do's)
- Proofread: AI is a fantastic first-draft machine, but it is not a final editor. Always check for accuracy, tone, and brand voice before hitting send.
- Keep Your Data Clean: The AI can deliver more personalized results if you have data enabled for it (like CRM, customer conversation, and files data). The better your CRM data, the better your AI drafts.
- Mind the Limits: Prompts are capped at 4,000 characters, and you have a daily generation limit (usually 1,000 times a day—which is a lot!).
- Sensitive Info is a No-Go: As with any generative tool, avoid sharing highly sensitive information in your prompts.
